What is clinic management software?

Clinic management software is a single system that handles the administrative and clinical work of a medical practice: booking appointments, keeping patient records, issuing invoices and tracking payments, managing stock, and reporting on activity and revenue. Replacing separate diaries, spreadsheets and paper files with one system means information is entered once and everyone works from the same data.

What is iClinics?

iClinics is web-based clinic management software built by Cedars Software for dental, aesthetic and multi-specialty practices. It combines appointment scheduling, electronic medical records, billing, online booking, SMS reminders, pharmacy inventory, labs, reporting and multi-branch management in one platform, available in English and Arabic.

Do I need to install anything?

No. iClinics runs entirely in the browser, so there is nothing to install on your computers and no server to buy or maintain. Staff sign in from any desktop, laptop or tablet with a web browser and an internet connection. Updates are applied centrally, so you are always on the current version.

Does iClinics work in Arabic?

Yes. The full interface is available in Arabic with a right-to-left layout, and in English. Language is set per user, so a receptionist can work in Arabic while a consultant works in English on the same clinic data. SMS templates can also be written in either language.

Is iClinics suitable for a single doctor, or only for large clinics?

Both. The Starter plan is priced for a solo practitioner, and the same system scales to groups running several branches with dozens of users. You can move between plans as the practice grows without changing systems or migrating data again.

How long does it take to get running?

Most clinics are booking patients within a few days. Your clinic is provisioned during the free trial, usually within minutes. The work that follows is entering your doctors, rooms, services and prices, and importing your patient list. Training a receptionist on day-to-day use typically takes under an hour.

Pricing and trial

How much does iClinics cost?

iClinics is a per-clinic subscription billed monthly or annually, across four plans: Starter for a solo practitioner, Clinic for a growing single location, Multi-Branch for groups, and Enterprise with custom pricing. Annual billing costs less per month. Current figures are on the pricing page - please confirm them with our team before committing, as plans are reviewed periodically.

Is there a free trial, and do I need a credit card?

Yes, there is a 14-day free trial and no credit card is required to start it. The trial is a real clinic with your own data, not a shared sandbox, so anything you set up and enter during the trial carries over if you subscribe.

Are there setup or per-feature fees?

Hosting, updates and support are included in the subscription, and there is no separate per-feature licence or annual maintenance invoice. Optional paid services exist for large data migrations and on-site training, and SMS messages are charged by the gateway according to volume. Anything chargeable is quoted before it is done.

What happens if my subscription expires?

Your data is not deleted. When a subscription lapses the clinic enters a grace period of about 30 days during which staff can still sign in and view records but cannot create new entries, and a renewal notice is displayed. After the grace period the clinic is locked until the subscription is renewed. You can request a full export of your data at any point.

Can I change or cancel my plan?

Yes. You can move up or down between plans as your practice changes, and cancel at the end of a billing period. Before you cancel, request a full data export so you keep your patient records and financial history.

Data, migration and security

Who owns the data in iClinics?

The clinic owns its clinical and financial data. iClinics stores and processes it to provide the service. You can request a full export of your records at any time, and exports are provided in standard formats your accountant or another system can read.

Can I move my existing patients from Excel or another system?

Yes. Patient lists in Excel or CSV can be imported, and data from other clinic systems can usually be migrated if it can be exported to a spreadsheet or database dump. Send us a sample of what you have and we will tell you honestly what can be carried across and what will need re-entering.

How is patient data protected?

Each clinic is held in its own separate database rather than a shared table, so one clinic's records are not mixed with another's. Passwords are stored as bcrypt hashes, never in readable form. Access is controlled per module and per role, so staff only reach what their job requires, and user activity is logged. Backups are scheduled, and full exports are available on request.

Is iClinics HIPAA or GDPR certified?

iClinics does not hold a HIPAA or GDPR certification, and no software vendor can make a clinic compliant on its own - compliance depends on how your practice operates as well as the tools it uses. What iClinics provides is per-clinic database isolation, hashed passwords, role-based access control, activity logging and scheduled backups. If you have specific regulatory requirements, tell us and we will confirm in writing whether we can meet them.

Can I control what each staff member sees?

Yes. Permissions are set per module and per role, not with a single admin switch. A receptionist can book appointments and take payments without opening clinical notes, doctors can be limited to their own patients, and financial reporting can be restricted to owners and management.

Technical

Does iClinics work offline?

No. iClinics is a web application and needs an internet connection to sign in and save data. Pages are kept deliberately light so it stays usable on slower or less reliable connections, but a clinic with frequent extended outages should plan for that - talk to us about how your setup would behave before you subscribe.

What devices and browsers are supported?

Any current browser on Windows, macOS, Android, iPadOS or iOS, including Chrome, Edge, Firefox and Safari. Reception and clinical work is most comfortable on a desktop or laptop, and calendars and patient lookup work well on a tablet.

Do appointment reminders really reduce no-shows?

Automated SMS confirmations and reminders reliably cut no-shows compared with no reminder at all, which is why iClinics sends them by default. The size of the improvement depends on your patient base and how far ahead you book, so we will not quote a percentage we cannot stand behind for your clinic. Measure it in your own no-show report over the first few months.

Can iClinics run on our own server?

The standard offering is hosted, which is what keeps updates and backups included in the subscription. On-premise deployment is possible for larger groups with a specific reason to require it, and is quoted separately because it changes who is responsible for uptime, backups and updates.
